Privacy Policy

Mankuca Ltd ("Mankuca", "we", "us") explains here how we collect, use, store, and protect personal and business data when you use our platform โ€” including subscriptions, workspaces, and the Partner Program.

1. Overview

This Privacy Policy applies to visitors, registered users, tenant administrators, employees whose data is stored in customer workspaces, and participants in the Mankuca Partner (Agent) Program.

By using Mankuca, you acknowledge that we will process information as described here and in our Terms of Service. Where you act on behalf of an organization, you confirm you have authority to accept this policy for that organization.

2. Information We Collect

2.1 Information you provide

  • Account details: name, email, phone number, password (stored hashed), profile photo
  • Business and tenant details: company name, address, industry, branding, module configuration
  • HR, payroll, accounting, and operational records you enter into the platform
  • Support communications, feedback, and survey responses
  • Partner profile data: company information, territory, payout preferences, tax identifiers where required

2.2 Payment and billing information

Subscription payments are processed through payment integrations within the Mankuca application. We receive transaction references, amounts, billing cycles, invoice history, and payment status. Full card or mobile-money credentials are handled by our payment service providers where applicable โ€” we do not store complete payment instrument details on our servers unless required for a specific approved integration.

2.3 Automatically collected information

  • IP address, device type, browser, and operating system
  • Log data: access times, pages viewed, API calls, and error reports
  • Referral and campaign attribution (e.g. partner referral codes, UTM parameters)
  • Cookies and similar technologies (see Section 11)

4. How We Use Your Information

We use collected data to:

  • Provision and maintain workspaces, modules, and user accounts
  • Process in-platform subscriptions, renewals, and billing events
  • Authenticate users, enforce permissions, and prevent fraud or abuse
  • Operate the Partner Program: attribute referrals, calculate commissions and markups, and process settlements
  • Send service notices, security alerts, and support responses
  • Analyze aggregated usage to improve performance, reliability, and features
  • Comply with law and respond to lawful requests from authorities

5. Payments & In-Platform Billing

How payment-related data is handled.

Mankuca records subscription and module payment activity that occurs through the application. This creates an auditable billing history tied to your tenant or partner account.

  • Payment status, invoice amounts, and billing cycles are stored for account management and legal compliance.
  • Partner commissions and markup earnings are calculated from platform-recorded transactions only.
  • Off-platform payments are not recorded in Mankuca and are outside the scope of our billing and partner settlement systems.
  • Payment disputes, refunds, and chargebacks may update both billing records and partner earning balances.

6. Partner Program Data

If you participate as a partner or agent, we additionally process:

  • Referral codes, marketing link clicks, and tenant attribution records
  • Lead and opportunity data you enter in the Partner Portal
  • Commission, markup, and settlement history
  • Payout account details you provide for disbursement
  • Limited tenant metadata for clients assigned or referred by you (e.g. business name, subscription status, module usage summaries)

Partners must use client data only for legitimate partner activities โ€” onboarding, support, and account management โ€” and must not export, sell, or misuse tenant data. Partners may not request clients bypass Mankuca billing; payment data for subscriptions remains governed by Section 5 and our Terms.

We may share with partners only the minimum information needed to perform their role. Clients' detailed operational data (payroll, financials, patient records, etc.) remains within the tenant workspace and is not disclosed to partners except where the client explicitly authorizes access as a workspace user.

7. Multi-Tenant Data Isolation

Mankuca is a multi-tenant platform. Each workspace (tenant) is logically isolated. We design our architecture so that one customer's data is not accessible to another customer without explicit permission.

  • Tenant administrators control which users can access their workspace and with what permissions.
  • System administrators access tenant data only when necessary for support, security, billing, or legal compliance, under controlled procedures.
  • You are responsible for the accuracy and lawfulness of data you upload about your employees, customers, and business operations.

8. Data Sharing & Third Parties

We may share information with:

  • Infrastructure and hosting providers that store and run the platform
  • Payment processors to complete in-app subscription transactions
  • Email and notification services for account and billing communications
  • Analytics and monitoring tools (often in aggregated or pseudonymized form)
  • Professional advisers and authorities when required by law or to protect rights and safety

We do not sell your personal information to third parties.

Service providers are bound by contractual obligations to protect data and use it only for the services they perform for us.

9. Data Retention

We retain information for as long as needed to provide services and meet legal obligations. Typical periods include:

Account data

Duration of account plus up to 7 years for compliance

Transaction records

Up to 7 years for tax and audit requirements

Support communications

Up to 3 years after last interaction

Analytics data

Up to 26 months, often anonymized

When data is no longer required, we delete or anonymize it in accordance with our retention procedures.

10. Your Rights

Subject to applicable law, you may have the right to:

  • Access โ€” request a copy of personal data we hold about you
  • Rectification โ€” request correction of inaccurate data
  • Erasure โ€” request deletion where legally permitted
  • Restriction โ€” request limited processing in certain circumstances
  • Portability โ€” receive data in a structured, machine-readable format where applicable
  • Object โ€” object to processing based on legitimate interests
  • Withdraw consent โ€” where processing is consent-based

To exercise these rights, contact privacy@mankuca.com. We may need to verify your identity before responding. Some requests may be limited where we must retain data for legal or contractual reasons.

11. Security Measures

We implement technical and organizational measures to protect data, including:

  • Encryption in transit (TLS) and encryption at rest for stored data
  • Role-based access controls and authentication
  • Tenant isolation and audit logging
  • Monitoring, backups, and incident response procedures
  • Staff training on data protection and confidentiality

No system is completely secure. Please use strong passwords, enable available security features, and report suspected unauthorized access promptly.

12. Cookies, Transfers & Other Matters

Cookies & tracking

We use cookies and similar technologies for authentication, session management, preferences, analytics, and referral attribution. See our Cookie Policy for details and choices where available.

International transfers

Your information may be processed in Zambia or other countries where we or our service providers operate. Where required, we use appropriate safeguards such as contractual clauses or equivalent protections.

Children

Mankuca is intended for businesses and users aged 18 and over. We do not knowingly collect personal information from children. If you believe we have collected a child's data, contact us for deletion.

Policy changes

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated date. Continued use of the platform after changes take effect constitutes acceptance where permitted by law.

Our practices are designed to align with applicable requirements including the Zambia Data Protection Act, GDPR principles where relevant, and industry security standards.
